1. Website use
By using this website, you agree to use its pages for lawful purposes and to respect the rights of Dartmoor Shots and its clients. The site describes our services, approach and selected work. It is not a filming contract or a promise that a particular date is available.
- Website copy, layouts, logos and original images belong to Dartmoor Shots or the relevant rights holder.
- You must not copy, republish, alter or sell site content without written permission.
- Information can change as services, availability and production methods develop.
Start with the written quote. A confirmed project is governed by the agreed proposal, these terms and any written project notes.
2. Quotes and estimates
We price each project around its brief, crew, locations, equipment, travel, edit time and delivery requirements. A quote is based on the information available when it is prepared.
- Quotes remain open for 30 days unless the document states a different period.
- The agreed price includes only the items listed in the quote. Extra filming days, locations, crew, travel or post-production are charged separately when approved.
- VAT, music licences, specialist suppliers and location fees are included only where the quote says so.
- A written estimate is not a confirmed booking. The date is held once the booking terms and deposit have been accepted.
3. Bookings and deposits
A booking becomes active when both parties approve the scope in writing and the required deposit has cleared. The deposit reserves production time and covers early planning already carried out for your project.
- The deposit amount and payment dates appear in the quote or invoice.
- The remaining balance is due by the date stated on the invoice, usually before final files are released.
- We may pause work or withhold final delivery when an invoice is overdue.
- For a wedding film or event booking, the date cannot be offered to another client once it is confirmed.
4. Production timeline
We agree practical milestones during planning. These may include a briefing call, script or shot-list approval, filming, an initial edit and final delivery. Timing depends on access, feedback and the availability of people or locations.
Production dates can move when weather, illness, venue restrictions, travel disruption or delayed client decisions affect the plan. We will flag a change as soon as we know it affects the agreed schedule.
Good preparation protects the edit. Please provide final schedules, addresses, access details and contact names before filming begins.
5. Revisions and changes
The quote states how many rounds of amendments are included. A revision means a clear change to the agreed edit, such as correcting a name, adjusting a selected shot or changing the order of approved material.
- Feedback should be combined into one written response from the authorised client contact.
- New concepts, reshoots, rewritten scripts or changes after approval are additional work.
- Feedback received after the agreed review window may move the delivery date.
- We can quote extra edit time before carrying out work beyond the included revisions.
6. Licensing and copyright
Unless the written quote says otherwise, Dartmoor Shots retains copyright in the footage, edit, graphics, project files and other original production material. Once the invoice is paid in full, the client receives the usage licence described in the quote.
- The licence covers the named client, agreed channels and stated period or territory.
- Raw footage, unused takes, project files and editable assets are not included unless listed separately.
- Music, stock media, fonts and third-party assets remain subject to their own licence conditions.
- Rights cannot be transferred to another organisation or used outside the agreed scope without written approval.
7. Client materials and responsibilities
You are responsible for the accuracy and lawful use of materials you provide. This includes logos, scripts, photographs, music, product information, locations and access permissions.
- You must secure consent from people appearing in the production when that responsibility sits with you.
- You must obtain permission to film on private land, at venues or in restricted areas unless we agree to arrange it.
- Tell us about hazards, access limits, safeguarding requirements or sensitive information before the shoot.
- You confirm that supplied material does not infringe another person's copyright, privacy or trade mark rights.
8. Cancellation and postponement
Tell us promptly if a project needs to change. Cancellation charges reflect work completed and the production time reserved for the booking.
- A deposit is normally non-refundable once planning or date reservation has started.
- Postponement may be possible where a new date is agreed and crew availability allows it.
- Late cancellation of a filming day may incur the booked crew, travel, location and preparation costs.
- Weather-sensitive filming can be rearranged when conditions make safe or usable footage unlikely.
Any cancellation terms in the signed proposal take priority where they provide a project-specific arrangement.
9. Portfolio usage
Dartmoor Shots may show completed work on its website, social channels, proposals and professional portfolio after the work has been released publicly. We will respect any written confidentiality restriction agreed before production.
If a project contains confidential information, private individuals or an unreleased campaign, tell us in writing. We will agree what can be shown and when.
10. Liability
We take reasonable care with planning, filming, storage and delivery. We cannot guarantee uninterrupted service where delays or loss result from events outside our reasonable control, including serious equipment failure, illness, venue closure, extreme weather or third-party outages.
- Our liability is limited to the amount paid for the affected project, except where the law does not allow that limit.
- We are not responsible for indirect loss, lost revenue or missed opportunities arising from the use of delivered content.
- Clients should keep their own copies of delivered files and maintain suitable business backups.
11. Governing law
These terms and any filming contract with Dartmoor Shots are governed by the law of England and Wales. The courts of England and Wales will have jurisdiction, subject to any rights you have as a consumer under applicable UK law.
We may update these website terms when our services or legal obligations change. The version in force when you book applies to that project.
